Step by step

Start a signing process

It takes less than two minutes to start the e-signing process. The document must be in PDF format and no larger than 10 MB.

Click "New e-signature"
Enter a name for the document to be signed (e.g., "Minutes of the Board Meeting – January"), add an optional message to the recipients, and upload the document to be signed—either from your computer or from the document storage in the portal.

Add signatories
Select from existing users in Reduca or manually add external parties (first name, last name, email address). If the document is to be signed using BankID, the user’s social security number must be on file—either through the user’s profile or entered manually in this step.

Save and start the signing
Click "Save and Start Signing." The system will automatically send an email to all parties with a link to the document and instructions. Please note that the signing process takes place via the link in the email—not directly within the portal.

External parties

Signing agreements with external parties

You can sign documents with people who don't have a Reduca account—without them having to create one.

No account requirements
External parties can easily sign via the link in the automated email. They do not need to log in or create an account in Reduca.
  • Add external parties by entering their first name, last name, and email address
  • If BankID is required — enter your personal identification number manually during the signing step
  • External parties will receive an email containing a direct link and signing instructions
  • Signing up is done via email — no login required
  • The final document is automatically sent to all parties after signing

After signing

What happens once everyone has signed?

Once the signing is complete, everything happens automatically—no manual work is required.

  • The finished document is automatically saved in Reduca
  • A certificate with a verification number is attached as proof of signature
  • A copy is automatically sent to all parties involved in the signing
  • The document and certificate are available in Reduca for future reference

Questions about e-signing

Answers to the most common questions about digital signatures in Reduca.

Yes. Digital signatures using BankID are legally valid in Sweden and are equivalent to a physical signature. The certificate with the verification number serves as proof and can be used in the event of a dispute.
Verify that the names and Social Security numbers of all signatories are on file. If BankID is to be used, the Social Security number must be provided—either in the respective user’s profile or manually during the signing process.
Yes. You can add attachments in the "Attachments" section before you start the signing process. The attachments will be included in the final signed document.
Yes. Once the signing process has begun, you can see who has signed and send reminders to parties who haven't signed yet.
