Every board meeting follows the same structured workflow in Reduca. The system automatically saves changes as you go—nothing gets lost.

Planning — Set Up the Meeting
Enter the meeting name, date, time, and location. The system automatically adds all users as suggested participants. Add attachments that pertain to the meeting as a whole—such as an annual report or financial statement.

Agenda — Organizing the Meeting
Create the agenda from scratch, copy it from a previous meeting, or use a template. Assign a type to each item—information, discussion, or decision. Add attachments to each item. Rearrange the order using drag-and-drop.

Invitation — send to participants
Send the invitation directly from Reduca via email. The agenda and attachments are automatically included as PDF files. Participants can confirm their attendance via the RSVP link in the email and add the meeting to their external calendar.

Minutes — keep a running record
Elect a chairperson, a minute-taker, and a person to verify the minutes. Take notes directly under each agenda item during the meeting. Decisions are automatically logged in the decision log. Assign tasks and responsibilities directly in the minutes.

Approval — review of the minutes
The chairperson and the person responsible for verifying the minutes automatically receive a link to review the minutes. They can approve them, suggest changes, or withdraw their approval. The system sends reminders to those who have not responded.

Signing — Sign electronically with BankID
Select who should sign—internal and external parties. Everyone will receive an email with a signing link. BankID is required if a personal identification number is registered. The signed document is saved with a legally valid verification certificate.

History — everything is automatically archived
The meeting, the minutes, and all attachments are automatically archived and are searchable by all authorized members. The decision log provides a comprehensive overview of all decisions over time. New members can log in and view the history immediately.

Yes. You can try Reduca for free for 30 days with no strings attached and no credit card required. There is no automatic renewal—if you’d like to continue, we’ll send you a contract proposal.
No. Everyone logs in with a username and password from the start. BankID is activated voluntarily by each member by adding their personal identification number in My Profile. Administrators can require BankID for the entire organization if you wish.
Yes. External parties—such as auditors or external consultants—can sign documents digitally via the link in the automated email. They do not need to have an account in Reduca.
Most organizations hold their first meeting in Reduca within a day of signing up. You can start with a meeting right away and upload meeting minutes and documents at your own pace. Reduca offers free help with getting started.
You can export all documents, minutes, and records before your account is closed. Reduca will assist with the export process upon closure. Contact support@reduca.se for more information about data export.
