Smooth handover with the Board Portal

It is clear that there are many important aspects to consider for a smooth transition between boards of an association or organization. Ensuring continuity and knowledge transfer is crucial to maintaining effective and accountable board work. Here are the key points for a smooth and trouble-free transition:

  1. Terms of office and overlap: Ensure that terms of office overlap so that there is continuity and knowledge transfer between old and new board members.
  2. Preparation for new members: New members should prepare by reading the statutes, understanding the number of board members, the role of alternates, decision-making processes and dealing with disqualifications on the board.
  3. Knowledge of relevant legislation: If the association rents out property, it is important to have knowledge of relevant legislation such as the Rent Act and protective legislation in areas such as fire and the environment.
  4. Clear division of tasks: Create a clear division of tasks within the board based on members' knowledge and interests. Define responsibilities and role descriptions for each board member.
  5. Document management and information transfer: Collect and organize all relevant documents and information in an accessible way for the new board. This can include contact details, supplier lists, bank details, budget, powers of attorney and guarantees.
  6. Joint handover meeting: Have a joint meeting between old and new board members to go over ongoing issues, important dates, meeting procedures and to provide an opportunity for questions and answers.
  7. Documents available for the new board: Make sure that all relevant documents, such as statutes, annual reports, minutes and contact details, are available to the new board in one place on the Board Portal. Also register the new board with the Companies Registration Office as soon as possible after any changes.

By carefully following these steps, a smooth transition between boards can be ensured, contributing to the effective and accountable governance of your association or organization.
