The Meetings function in the Board Portal makes it easy for users to set up a meeting with associated documentation that all participants can access before, during and after the meeting to be able to come prepared and feel involved in the ongoing board work.
In Meetings, users can create agendas, retrieve items from previous meetings, attach attachments, add participants, send a notice with a link to a video meeting, create minutes based on the agenda, appoint roles, make amendments and approve minutes and then sign minutes with BankID. Each meeting is automatically added to the board calendar, which sends out reminders via email and SMS to participants.
All completed meetings and related documentation are put in a structured and searchable tab to create a clear history.
It increases participation, makes participants more prepared, saves time on unnecessary administrative work, allows board members to conduct the meeting remotely, creates a clear meeting process, ensures that all steps of the meeting process are correct and that board members can carry out their duties in the most optimal way.
